Documentation Outreach — Coming Soon
Tax documentation doesn't stay valid forever or was never collected. W-8 forms expire. W-9 forms can receive B-Notices, and changes in circumstances can make self-certifications become invalid. Customer circumstances change, a new address, a change in citizenship, a shift in entity classification, and the documentation on file no longer reflects their current status. Under FATCA, CRS, and CARF, financial institutions are required to keep documentation current and to resolicit account holders when it isn't.
Tracked manually, this is a losing race. Expiry dates sit in spreadsheets. Change-in-circumstance events get missed. Outreach is inconsistent. And by the time a gap surfaces, it's often at a reporting deadline, or in front of a regulator, where the cost of fixing it is highest.
TAINA Renew is TAINA's documentation monitoring and solicitation capability, built to catch expiry and change-in-circumstance events upstream and generate the customer outreach needed to cure them, before they become a reporting or withholding problem. Renew is currently in early-stage development.
Does your organisation struggle to keep documentation current?
Every FATCA,CRS, and CARF programme accumulates the same operational drag over time: self-certifications that quietly expire, W forms that fall out of date, and change-in-circumstance events that go unnoticed until a reporting cycle or an audit surfaces them.
The more accounts an institution holds, and the longer it has been operating under FATCA,CRS, and CARF, the larger this population becomes, and the harder it is to track consistently through manual processes and spreadsheets alone.
Is documentation renewal a regulatory requirement?
Yes. Under FATCA, CRS, and CARF, financial institutions and Crypto-Asset Service Providers (CASPs) are required to maintain current, valid documentation and self-certifications for reportable account holders, and to resolicit account holders when documentation expires or when a change in circumstance calls it into question. Failing to do so can result in accounts being treated as undocumented, triggering backup withholding obligations, and heightened audit and reporting risk.
As documentation populations grow and regulatory scrutiny increases, the operational burden of monitoring expiry and managing solicitation consistently, across every account, in every jurisdiction, is only increasing.
What does TAINA Renew do?
TAINA Renew monitors documentation and self-certification status across your account population and manages the solicitation process when action is needed. It is built on deterministic, rules-based monitoring, not open-ended AI decisioning, so every flag and every outreach action can be traced back to a clear rule.
Renew's core capabilities (Stage 1):
-
Continuous expiry monitoring: tracks documentation and self-certification validity across the account population and flags what's approaching or past expiry
-
Change-in-circumstance detection: surfaces events that call existing documentation into question, so they don't sit undetected until a reporting cycle
-
Automated solicitation outreach: generates the customer communication needed to request updated documentation, on a consistent, rules-based cadence
-
Case dashboard: gives compliance and operations teams a single, current view of outstanding solicitation cases and their status
Is TIN validation a regulatory requirement?
Manual documentation renewal, spreadsheets, calendar reminders, and ad hoc outreach, creates operational risk at scale. Expiry dates get missed. Outreach is inconsistent. Cases sit unresolved until they become urgent, and the compliance team absorbs the remediation cost.
-
TAINA Renew replaces manual tracking with continuous, rule-based monitoring of documentation status across the full account population
-
Automated outreach means solicitation happens on a consistent cadence, rather than depending on someone remembering to chase it
-
A single case dashboard gives teams visibility into what's outstanding and what's been resolved, reducing the risk of cases falling through the cracks
Built with human oversight at the centre
Renew is designed to handle the repeatable, rules-based work of monitoring and outreach, while keeping compliance and operations teams firmly in control of the judgement calls: deciding whether a case needs a cure or a new form, and whether a grace period should be extended. Nothing is resolved automatically without a person able to see why.
This is deliberate. TAINA's approach across the platform is governance-first: every flag is explainable, every outreach action is traceable, and every exception routes to a person, not a black box.
-
Stage 1 focus: deterministic monitoring, outreach and case tracking, shipped first
-
Stage 2: AI-assisted capabilities layered in as optional, separately licensed features
Register your interest in TAINA Renew
TAINA Renew is currently in early-stage development. We're working with a small group of existing TAINA clients and partners to shape the product against real documentation renewal and solicitation workflows before a wider release.
Registering your interest doesn't commit you to anything. It puts you on the list to hear when early access opens, and gives you a direct line to the product team if you'd like to share what your team's current solicitation process looks like.
If your organisation is managing documentation expiry and solicitation manually today, or should be, we'd like to hear from you.
